✨ NOTE: This episode is part of the Automated Systems That Scale mini-series, where we’re exploring how the right project management system can transform your business from manual and chaotic to automated and streamlined.
Throughout this series, I’ll show you exactly how to leverage Asana’s powerful automation and AI capabilities to create systems that run your business for you.
The “Automation Gap” That’s Stealing Your Precious Time
Let’s get real for a minute.
According to Harvard Business Review (yes, I’m dropping some serious research here to back this up!), knowledge workers spend a whopping 41% of their time on boring, repetitive tasks that offer zero satisfaction and could totally be handled automatically.
That’s almost HALF your workday spent on tasks that doesn’t need your brain!
This is what I call the “automation gap.” Aka: the massive difference between what COULD be running on autopilot in your business and what’s actually automated.
And trust me, this gap is costing you in three major ways:
Time you’ll never get back(time that could be spent with your family, friends, or just watching the newest season of Ted Lasso!)
Money left on the table(what would an extra day each week be worth to your business?)
Growth opportunities missed(because you’re too busy in the day-to-day operations to work ON your business)
But don’t worry! With the right project management tools and a little setup, you can close this gap faster than you can say “automation is my new best friend.”
Your Step-by-Step Asana Tutorial (No Tech Degree Required!)
Let me walk you through the exact steps to set up your Asana system, from account creation to automation rules, so you can start saving time right away (without any tech headaches!)
Step 1: Creating Your Asana Account (The Smart Way)
First things first, let’s get you set up the RIGHT way from day one:
Head over to asana.com and click that “Get Started” button
Sign up using the account you already use for most of your business tools (this makes connecting everything SO much easier later!)
When Asana asks what you want to use it for, select “Work with my team” even if you’re a solopreneur! This unlocks more automation features (sneaky, right?)
Choose your primary role and department to help Asana suggest relevant templates (these templates are like finding gold, they’ll save you TONS of setup time)
Name your workspace after your business, think of this as the umbrella for all of your projects
PRO TIP: According to research (yep, dropping more knowledge!), 56% of project management offices saw major efficiency improvements when they structured their digital workspace to match their organization’s structure. So don’t skip this step!
Step 2: Organizing Your Projects Strategically
Here’s a secret that took me waaaaay too long to learn: organize by WORKFLOW, not by client or time period!
Instead of creating separate projects for each client (which I totally did at first 🤦♀️), create projects based on your repeatable business processes:
Client onboarding
Content creation
Product launches
Operations management
Why does this matter so much? Because project management automation works best when applied to consistent, repeatable workflows.
Studies show businesses organized around repeatable processes are 52% more likely to complete projects on time and within budget.
And who doesn’t want that, right?
Let me walk you through the exact projects I recommend setting up right away:
1. Client Onboarding Process (Use Board View for This!)
Create sections that look like this:
New leads
Discovery call scheduled
Proposal sent
Contract signed
Onboarding in process
Onboarding complete
This gives you a super-visual way to see exactly where each client stands in your process. No more “Wait, did I send that welcome email?” moments!
2. Content Pipeline (Calendar View Works Like Magic Here)
Set up sections for:
Content ideas (brain dumps welcome!)
In research
In production
Ready for review
Scheduled
Published
This system alone revolutionized my content creation process (and my team’s sanity!)
3. Operations Hub (List View Is Perfect for This)
Create sections for all your business operations:
Finance & accounting
Marketing & production
Team management
Systems & tools
Step 3: Setting Up Custom Fields (Your Automation Secret Weapon)
For each project, add these custom fields to supercharge your automation potential:
Priority (Low, Medium, High)
Status (Not Started, In Progress, Waiting On, Complete)
Due Date
Assigned To (even if it’s just you for now!)
The Real Deal: Asana’s research shows teams who use custom fields save 33% more time through automation than those who don’t. These fields become the triggers that make your automation magic happen!
How to set up custom fields, custom rules and custom task templates in Asana
Step 4: Setting Up Your First Automations (The Real Time-Savers!)
Now let’s get to the fun part: setting up your first automated systems that’ll have you thinking “Why didn’t I do this YEARS ago?!”
Recurring Tasks (AKA Never Forget Anything Important Again)
Setting up recurring tasks is like hiring a personal assistant who never sleeps, never forgets, and doesn’t need coffee breaks:
Create a task you do regularly (like “Review Weekly Analytics” or “Schedule Social Media”)
Click the calendar icon next to the due date
Select “Make this task repeat”
Choose how often (daily, weekly, monthly, or get fancy with custom patterns like “every third Thursday”)
Confession Time: Before I set up recurring tasks, I legit forgot to check my analytics for THREE MONTHS. Whoops!
This simple automation ensures important work happens consistently without relying on your already-full brain.
Task Dependencies (The Workflow Game-Changer)
Task dependencies create a sequence where one task automatically becomes active when another is completed:
Create related tasks (like “Create Graphics” and “Schedule Social Posts”)
Make the second task dependent on the first
When you complete the first task, the second automatically becomes active
This is perfect for those “I can’t do X until Y is finished” situations!
Subtasks: For When Your Brain Is Just TOO FULL.
Subtasks are my absolute FAVORITE for complex processes:
Create a main task (like “New Client Onboarding”)
Add every. single. step. as a subtask (send welcome email, share questionnaire, schedule kickoff call, etc.)
For example, my podcast episodes, I have over 20 subtasks that take me from idea to published episode. This ensures I never miss a step and don’t have to keep a mental checklist of “did I remember to…?”
Example of the task template I use for each episode of my podcast. Circled, you can see I have 25 subtasks, helping me remain consistent from start to finish for every episode.
The Best Part: Research shows breaking work down into subtasks increases completion rates by 20% and reduces coordination time by 25%.
Plus, the satisfaction of checking off those subtasks? Better than chocolate. Almost.
Step 5: Leveraging Asana AI (Your Virtual Assistant Without the Monthly Fee)
Asana AI features make your system even smarter:
Smart Recommendations
As you use Asana, it learns your patterns and starts suggesting due dates, assignees, and related tasks. It’s like having a team member who just gets how you work!
Natural Language Magic
This feature is straight-up witchcraft.
Type “Schedule client meeting with Jen next Tuesday at 2pm” and Asana automatically creates a task with the correct date, time, and assignee. No more clicking through multiple fields!
AI Workload Management
The workload view uses AI to visualize team capacity and balance work effectively. This is crucial for preventing that “I’m drowning!” feeling and ensuring your deadlines actually make sense.
Reality Check: According to Gallup, employees with well-managed workloads are 70% less likely to experience burnout. This feature alone is worth its weight in gold for team sanity!
Step 6: Connecting Your Favorite Tools (Integration Heaven!)
The true power of Asana comes from connecting it with all your other business tools:
Email + Asana = Time Saved
Create tasks directly from emails by forwarding them to x@mail.asana.com. This is LIFE-CHANGING for turning client requests into actionable tasks without copy-pasting!
Professional women spend about 28% of their workday managing email (I know, horrifying). By integrating email with your project management, you cut this time dramatically.
Calendar Sync
Connect Asana with Google Calendar or Outlook so your task deadlines show up on your calendar automatically. No more double-entry or missed deadlines!
Zapier: The Magic Connector
Use Zapier to connect Asana to 3,000+ other apps. Create “Zaps” that generate Asana tasks when specific triggers happen elsewhere:
New form submission? Create an Asana task!
New email subscriber? Create an onboarding task!
Client makes a payment? Trigger their welcome sequence!
Businesses using integration tools save an average of 5 hours per week per employee. For a small team of 3, that’s 15 hours weekly!
Other Must-Have Integrations
Slack (my favorite!)
Google Drive/Docs
Microsoft Teams
Canva
And so many more!
Step 7: Creating Automation Rules (No Coding Required, Promise!)
Now for the truly magical part… Asana’s Rules feature lets you create “if this, then that” automations without a single line of code.
Here are my absolute favorites:
Automatic Status Updates
When: A task moves to a specific section
Then: Change the status to match
No more manually updating statuses! When you drag a task to “In Progress,” it automatically updates the status field.
Never Miss a Deadline Again
When: A task is approaching its due date
Then: Send a notification to whoever needs to know
This creates automatic reminders without you having to check in manually or send those awkward “just following up” messages!
Client Onboarding on Autopilot
When: A task moves to “Contract Signed”
Then: Create all onboarding subtasks and assign them automatically
This kicks off your entire onboarding process the moment a client signs. Your clients are impressed by how organized you are, and you didn’t have to remember a thing!
Form Response Magic
When: Someone fills out a form on your website
Then: Create a task, assign it, and add it to the right project
Perfect for client inquiries, content requests, or support tickets. The information goes straight from form to actionable task without you lifting a finger!
The Real Results: Teams using these rules effectively automate an average of 7 hours of manual work weekly. That’s a FULL business day back in your life!
Just like the project templates, Asana has tons of Rule templates already set up for you, so no need to reinvent the wheel or worry about starting from scratch!
Step 8: Growing Your System Without Overwhelm
The key to success with any new system is taking it one step at a time:
Move ONE workflow into Asana (I recommend starting with the one causing you the most headaches)
Set up basic automations for that workflow
Use it consistently for two weeks
Then add your next workflow
This bite-sized approach prevents that “I’m drowning in new systems!” feeling… while still making real progress toward an automated business.
You’ve Got This! (No Tech Genius Required)
Setting up Asana for small business isn’t about becoming some ultra-organized robot or tech wizard.
It’s about creating space for the work that actually lights you up. The creative projects, client relationships, and big-picture thinking that moved you to start your business in the first place!
Remember: automation isn’t about doing MORE. It’s about doing more of what MATTERS.
When you close that automation gap, you create a business that runs smoothly even when you’re not watching its every move. And isn’t that the dream? A business that serves your life, not the other way around!
